1Introduction

Vocab Mind ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our mobile application.

2Information We Collect

Account Information

When you create an account, we collect:

• Email address
• Display name (optional)
• Profile information provided through Google Sign-In (if you choose to use it)

User-Generated Content

We store the following data you create:

• Vocabulary words and translations
• Categories you create
• Learning progress and statistics
• Game scores and performance data

Automatically Collected Information

• Device information (model, OS version)
• App usage statistics
• Crash reports and error logs

Words You Look Up

AI Fill sends the word you type to our own server (Google Cloud Functions, hosted in the European Union), which forwards it to Groq to generate a definition, example sentence, synonyms, and antonyms. It receives only the word itself and the language pair you selected — not your name, email, or account identifier.

Please avoid entering personal or sensitive information into this field.

Shared Dictionary Cache

When AI Fill generates information for a word, we store that result in a shared cache and serve it to anyone who later looks up the same word. This keeps the feature fast and free to run.

The cache holds the word and the generated definition. It does not record who requested it, and it is not linked to your account. We keep these entries indefinitely so they remain available to all users; deleting your account does not remove them, because they contain no information about you.

3How We Use Your Information

We use your information to:

• Provide and maintain the Vocab Mind service
• Synchronize your vocabulary data across devices
• Track your learning progress
• Improve app performance and user experience
• Send important service notifications

4Data Storage and Security

• All user data is stored securely using Firebase Firestore
• We implement industry-standard security measures to protect your data
• Your vocabulary data is encrypted in transit and at rest
• We never sell your personal information
• We share data with third parties only where it is needed to operate a feature you use — the services listed below, and only the data described there

5Third-Party Services

Our app uses the following third-party services:

Firebase (Google)

• Authentication
• Cloud Firestore (data storage)
• Cloud Functions (runs the AI Fill feature, hosted in the European Union)
• Crashlytics (crash reports and error logs)

Groq

Google Mobile Ads

• We display advertisements through Google AdMob
• AdMob may use your device's advertising identifier (IDFA on iOS, Advertising ID on Android) to personalize ads and cap how often you see them
• In the EU, EEA and UK: the app shows Google's consent form on first launch. You may refuse personalized ads, in which case ads continue to be shown without personalization. You can change your choice at any time under Settings → Ad preferences
• On iOS: Apple's App Tracking Transparency prompt is also shown. If you decline, your advertising identifier is not used for tracking

6Your Rights

You have the right to:

• Access your personal data
• Update or correct your information
• Delete your account and all associated data
• Opt-out of personalized advertising

7Guest Mode

If you use the app as a guest (without creating an account):

• You are given an anonymous identifier; no email or name is requested
• Your data is stored on your device and saved to our Firebase servers under that anonymous identifier
• Because the identifier belongs to that one device, you cannot reach your data from another device
• If you create an account later, the same identifier is linked to it and the data you added as a guest is preserved
• Uninstalling the app removes the copy on your device; use the deletion process below for the server-side record

8Microphone and Speech Recognition

If you play the pronunciation game, the app asks permission to use your microphone. Your voice is sent to the speech recognition service provided by your device's operating system (Apple on iOS, Google on Android) to convert what you said into text. Depending on your device settings, this may happen online.

• We do not store your audio and never send it to our own servers
• Only the transcribed text is used, to score your answer
• If you decline, the pronunciation game is unavailable; the rest of the app works normally
• You can revoke the permission at any time in your device settings

9Children's Privacy

Vocab Mind is suitable for users of all ages. We do not knowingly collect personal information from children under 13 without parental consent. If you believe we have collected information from a child under 13, please contact us immediately.

10Data Retention

• Active accounts: Data is retained as long as your account is active
• Deleted accounts: All data identifying you is permanently deleted within 30 days of account deletion
• Shared dictionary cache: Kept indefinitely. These entries contain no information about who looked a word up, so they are unaffected by account deletion (see "Shared Dictionary Cache" above)
• Guest mode: The local copy remains until you uninstall or clear app data. The Firebase record belongs to the anonymous account; use the account-deletion process to remove that record.

11Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by:

• Updating the "Last Updated" date
• Sending an in-app notification for significant changes

14Data Deletion Request

To request deletion of your account and all associated data:

1. Open the app
2. Go to Settings
3. Select "Delete Account"
4. Confirm your request

Alternatively, you can email us at yigiterzenapp@gmail.com with the subject "Data Deletion Request" and we will process your request within 30 days.

15Language

This document was written in English. The Turkish text is a translation provided for convenience. If the two versions differ, the English version applies. This does not affect any consumer rights you have under the law of the country you live in that cannot be limited by agreement.
